Founded in 1947, Peninsula Volunteers, Inc is a community-based, non-profit organization that develops and administers programs and services for the aging population of the mid-peninsula region, providing over 1,000 hot meals every week to the homebound through Meals on Wheels, and touching over 4500 households through our programs at Little House, The Roslyn G. Morris Activity Center and Rosener House Adult Day Services. With a budget of $3.6M, PVI has led the nation in developing programs to support the welfare of the older adult members of our community. It is supported by private philanthropy, public grants and fees. |

- Duties and Responsibilities:
- Oversee all aspects of general office coordination and perform general clerical duties that include copying, faxing, mailing, filing.
- Provide primary phone coverage for Little House and back-up coverage for Peninsula Volunteers Inc. Direct inquiries to appropriate staff.
- Interact with Little House members, visitors, and vendors
- Provide general administrative support for Little House Staff-including data entry, mail merges, generating lists, creating labels, assigned projects, coordinate meeting locations, room and food arrangements, record and transcribe meeting minutes.
- Date-stamp and distribute incoming correspondence to appropriate department; responsible for all outgoing mail. Sign for and distribute UPS/Fed Ex or delivered packages
- Prepare daily deposits for PVI for Finance department
- Cross-train with Program Specialist to act as back-up in his/her absence (membership, program coordination).
- Maintain and monitor supplies for copy machine, postage machine and fax machine
- Responsible for the administration of PVI phone system including updates/changes of names, messages, and clock.
- Maintain inventory of office supplies, monitor vendor delivery, and distribute supplies to appropriate department
- Coordinate periodic staff birthday celebration.
- Under the direction of the Little House Director, provide administrative support to other PVI departments including Finance, Food Services, and Facilities.
- Other duties as assigned.
Physical Requirements:
- Able to sit at desk for prolonged periods using computer keyboard, viewing monitor, and answering telephone.
- Able to do repetitive motions-make frequent movements with fingers and hands
- Ability to stoop, bend, squat, reach.
- Ability to lift up to 15 lbs.
Education & Training
- High School graduate and at least three years experience performing a wide variety of general administrative and clerical duties.
- Proficiency using Microsoft Word , Excel, Outlook, PowerPoint. Publisher and database knowledge helpful.
Accountability: Reports directly to the Little House Director
Hours: 7 hours per day, Monday – Friday
Salary: Depending on experience
